Refund & Cancellation Policy

Hostora is operated by PRODM IT SOLUTIONS ("PRODM", "we", "us", "our"). This Policy explains cancellations and refunds for Hostora subscription fees paid by Customers to PRODM.

1. Scope — please read first

This Policy covers only the subscription you pay to PRODM for using Hostora. It does not cover rent, deposit or other payments between a property and its residents — those are collected through the property owner's own payment account, and any resident refund (such as a security deposit) is governed by that property's house rules and agreement. Please contact the property directly for those.

2. Free trial

New accounts may include a free trial (currently 30 days), during which you are not charged. You can stop before the trial ends and will not be billed.

3. Cancellation

You may cancel at any time from billing settings or by contacting us. On cancellation, your plan remains active until the end of the current paid period and will not renew after that. After the paid period ends, your account moves to read-only/limited access; you may export your data during a reasonable window before it is removed.

4. Refunds

Subscription fees are generally non-refundable for periods already used, including partial months, except as below or as required by law.

  • First-time charge: if you are charged for a new paid subscription and request a refund within 7 days of that first charge, and have not substantially used the Service, we will consider a full refund at our reasonable discretion.
  • Service failure: if a confirmed fault on our side made the Service substantially unusable for a paid period and we could not resolve it in reasonable time, we may issue a pro-rata refund or credit.
  • Annual plans: on mid-term cancellation we may, at our discretion, refund unused full months on a pro-rata basis, less any discount benefit already received.

Non-refundable: one-time setup/onboarding/customisation fees (if any) and amounts paid to third parties (gateway charges, SMS/WhatsApp costs).

5. How to request a refund

Email prodm.itsolutions@gmail.com from your registered address with your account/organisation name, the transaction reference, and the reason. We aim to acknowledge within 2 business days. Approved refunds are processed to the original payment method within 5–7 business days (your bank/provider may take longer to reflect it).

6. Taxes

Refunds are of the amount actually paid. Applicable GST is handled per law; tax components are refunded/adjusted as required.

7. Chargebacks

If you have a billing concern, please contact us first — we will work to resolve it. Raising a chargeback without contacting us may lead to suspension while the dispute is investigated.

8. Changes

We may update this Policy; changes apply to purchases made after the change.
